Privacy Policy

Effective date: June 2025. Canada House Clinics is committed to protecting the privacy and confidentiality of your personal and health information.

1. Introduction

Canada House Clinics ("we," "us," or "our") operates medical cannabis clinics across Canada. We collect and handle personal information and personal health information (PHI) in the course of providing clinical services. This Privacy Policy explains what information we collect, why we collect it, how we use and disclose it, and your rights as a patient or website visitor.

Our practices are governed by the Personal Health Information Protection Act (PHIPA) in Ontario, applicable provincial health privacy legislation in other provinces, and the Personal Information Protection and Electronic Documents Act (PIPEDA) for personal information in our commercial activities.

2. Information We Collect

We may collect the following categories of information:

  • Identity information: full name, date of birth, government-issued identification number (e.g., health card number, service number for Veterans).
  • Contact information: mailing address, telephone number, email address.
  • Health information: medical history, current diagnoses, medications, treatment plans, cannabis prescription details, and clinical notes created during consultations.
  • Veterans Affairs Canada (VAC) information: VAC file number, disability benefit status, and benefit coverage details — collected only when you seek VAC coordination services.
  • Website usage information: IP address, browser type, pages visited, and referring URL, collected via standard server logs. We do not use third-party tracking cookies for advertising.

3. How We Use Your Information

We use your information only for the purposes for which it was collected, including:

  • Providing medical cannabis consultations and clinical care.
  • Preparing and renewing medical documents required to obtain medical cannabis.
  • Coordinating with Veterans Affairs Canada to support your benefit claims and coverage — only with your express consent.
  • Communicating with Licensed Producers (LPs) to register your medical document — only with your express consent and your choice of LP.
  • Scheduling appointments and sending appointment reminders.
  • Responding to your inquiries submitted through our website or by phone.
  • Complying with legal, regulatory, and professional obligations, including Health Canada requirements under the Cannabis Act.
  • Improving the quality and safety of our services (using de-identified data where possible).

We will not use your personal health information for marketing purposes without your separate, informed consent.

4. Disclosure to Third Parties

We do not sell your personal information. We share information only in the following circumstances:

  • Licensed Producers: Your medical document is shared with the LP(s) you select, solely to authorize your legal purchase of medical cannabis.
  • Veterans Affairs Canada: We share clinical documentation with VAC only with your explicit written or electronic consent to support your benefit claims.
  • Healthcare providers: We may share information with your other treating practitioners when clinically necessary or when you have provided consent.
  • Service providers: We engage trusted third-party service providers (e.g., electronic medical record platforms, appointment booking systems) under contractual privacy and security obligations consistent with applicable law.
  • Legal requirements: We may disclose information when required by law, court order, or to protect the safety of a patient or the public.

5. Data Security

We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the personal health information we hold. These measures include encrypted electronic records, access controls, and staff training on privacy obligations.

Despite our efforts, no security measure is perfect. If you have reason to believe that a security breach has occurred involving your information, please contact us immediately at info@canadahouseclinics.ca.

6. Retention of Information

We retain personal health information for the minimum period required by applicable provincial health regulation and professional standards — typically a minimum of ten years from the date of last entry, or, for records relating to a minor, ten years after the individual turns eighteen.

When information is no longer required, it is securely destroyed or de-identified in accordance with our records management policy.

7. Your Privacy Rights

Subject to applicable law, you have the right to:

  • Access: request a copy of the personal information or personal health information we hold about you.
  • Correction: request that inaccurate or incomplete information be corrected.
  • Withdrawal of consent: withdraw consent to certain uses or disclosures, subject to legal or contractual restrictions.
  • Complaint: lodge a complaint with the applicable provincial or federal privacy commissioner if you believe your rights have been violated.

To exercise any of these rights, please contact our Privacy Officer (see Section 9 below). We will respond within the time limits prescribed by applicable law.

8. Website and Cookies

Our website may use essential cookies necessary for the website to function. We do not use advertising cookies or share website visitor data with advertising networks.

This website is not intended for use by persons under 18 years of age. We do not knowingly collect personal information from minors through this website.
